Getting your practice's cleaning records ready for inspection

Inspectors want to see that cleaning is planned, done and checked. Here is a short list of what practice managers should be able to put on the table.

The documents

  • A cleaning specification setting out each room type, tasks and frequencies
  • Signed cleaning logs for clinical rooms and washrooms
  • Audit results with actions taken when scores fell
  • COSHH assessments and safety data sheets for products used
  • Colour-coding chart showing which equipment is used where
  • Waste records showing clinical waste is collected by a licensed carrier

Who does what

Be clear which tasks belong to clinical staff, such as instrument decontamination and between-patient surface cleaning, and which belong to the cleaning team. Write the split down.

Walk the practice

A week before, walk the building as an inspector would: high surfaces, sinks, floors at the edges, sharps and waste storage. Fix anything you find and record it.
